Welcome Roundtable Hosts!

Thank you for partnering with us to host a Roundtable this spring and for facilitating transformative content and meaningful conversations to help navigate these challenging times. This page provides access to everything you need to host an Exponential Roundtable event.

As a Roundtable Host, you and your attendees also have access to Exponential’s Online Community, we call the HUB, where almost daily we invite you into a conversation that presses into core topics and content to help you further church multiplication in your context.  Once you’ve worked through Host Resources Tabs, be sure to see what’s going on in the HUB.

What does a Roundtable event look like? 
A Roundtable consists of 3 sessions in a partial-day setting with participants gathered around tables.  Each session is 60-90min long and basically includes:

  • a pre-recorded that introduces the topic
  • at least two high-quality, 10-min TED-style talks per session
  • a pre-recorded intro that sets the ground rules for each of the 3 roundtable conversations
  • one 30min+ roundtable conversation per session

What programming is required of a Host? 
A Roundtable is designed as a turn-key event for you, and therefore, most of the event programming is recorded. However, you must at a minimum provide an Emcee/Host to welcome, inform and guide participants (from the stage) into the next session. Exponential provides recorded intros into the table conversations. You have the flexibility to build the event, choose speakers and adjust the schedule to fit your context. We ask that live talks align with our session topics and descriptions (provided under Programming).

What personnel are required of the Host? 
At a minimum, you will want:

  • Emcee/Host to welcome & guide participants from the stage (see above)
  • A/V & Tech to run programming
  • Stage help (if needed)
  • Greeters and/or someone to act as the ‘Registration & Info Center’ for participants
  • Table Facilitators to help guide the table conversations

How do we show the TED-style talks at our event?  Each recorded talk is identified by session and topic, and is available for download by clicking on the inks in the Programming tab. Do not show from this site but rather download your choices and show from your computer.

Can we include our own ‘live’ speakers as part of the programming?   Yes, you have the flexibility to make the content fit your context and include your own live speakers as part of the programming. We ask that live talks align with our session topics, descriptions and follow the Rules of Engagement.

Who guides the Roundtable Conversations?   We strongly encourage you to enlist a Facilitator for each Roundtable. Exponential has provided a Table Guide (located under each topic) of questions related to each session’s topic that helps guide everyone at the table and helps the facilitator keep the conversation focused on that topic.

Do we have to serve lunch?   No, lunch, snacks, drinks, etc., are the decision and expense of the Host. If your schedule requires that lunch be considered, a food truck or donated Chick-fil-a sandwiches are good no-cost options. Or you can provide lunch.

What are the costs of hosting an event?  We've designed the event to be little cost to the host.  Primary costs include your facility, time, Table Guide copies and human resources. The scope and timing of your event will determine additional costs, such as coffee, snacks, drinks or lunch if your schedule warrants it or if you choose to provide it. Most Hosts are not providing lunch. Table Guides should be printed onsite – one per participant. Expenses are not reimbursed.

Are there any logos or graphics we can use to promote?  Yes, you’ll find graphics but we are happy to provide special requests.

Do we have to use actual round tables or can we create spaces for conversations?  Ideally leaders would sit in consistent smaller groups around tables (round or rectangles put together) to facilitate conversation. If a venue or social distancing doesn’t allow for that, then we ask Hosts to create the best environment/space for conversations possible. 

Should we provide worship music? Incorporating music is at the discretion of the Host. If you choose to incorporate music, we recommend the scope be limited to 1-2 people leading in a more acoustic style.

Who handles Registration?  Exponential hosts your Registration and the location options and links are found here. Exponential provides the Host a registrant update 2x weekly.

Is our event limited to 100 people?  No, our vision is 100 people around tables, but whether you have 15 or 115, the conversations are effective and there is no minimum or maximum

How does the Host Revenue Sharing model work?   Exponential keeps the first $2500 in registration revenue from an event, and the Host and Exponential split 50/50 any revenue above the $2500. Example:  If Registration is 100 for your event at an avg of $35 per person (a combination of early bird & regular rate) = $3500. Host and Exponential would split $1000.

What if there are not enough registrations to reach the $2500 threshold?  Does the Host organization have to pay?   Absolutely not, there is no cost to the Host.

What do we do if only 15 people register for our event?  Continue as planned and maximize the opportunity to engage with each participant and benefit from the more intimate gathering. Imagine a group of, say, 30 in the room, and they gather 5 to a table – that’s 6 tables and results in biblically unifying conversations and deep relationships. Any size is a win!  Some of our best feedback has come from smaller events.

What if our event is forced to cancel due to government or crowd restrictions?  For Hosts forced to cancel or no longer able to host the participants, Exponential will work with you to either move online or move registrations to a future event.

You are strongly encouraged to enlist a Facilitator for each table at your event. That could be staff or a strong, gracious leader from your circle who can help guide the table conversation. Each person at the table will have a Table Guide (located in theme tabs) that provides the questions for discussion. Similar to a small group, each table should have a Facilitator to help guide the participants through the questions.

The last year highlighted more than ever the critical need to mobilize the church. We long to see Jesus’ prayer in John 17 answered, “that they may all be one, just as you, Father, are in me, and I in you, that they also may be in us, so that the world may believe that you have sent me.” It’s in this increasingly divisive cultural moment, the call that we are Better Together has never been greater. Table Guides - We have the privilege of working with the group, Undivided, who is experienced in running national roundtable gatherings that engage in unifying race conversations. These Table Guide questions will help guide and facilitate healthy, safe conversations. Table Guides are not unique to a specific talk but they ARE uniquely designed around each of the 3 Session TOPICS. We know every community is different, so you have the freedom to customize Table Guide questions to fit your community and context if necessary.
